What personal information we collect
The personal information we collect depends on how you interact with us. It may include:
- Identity and contact details — your name, date of birth, postal and email addresses, and phone number.
- Membership and account information — your membership type, attendance and booking history, preferences, and communications with us.
- Payment and billing information — your bank account or card details (collected and stored by our third-party payment provider), and billing records. We operate a cashless business and do not store full card numbers ourselves.
- Health and sensitive information — information you provide through our pre-exercise questionnaire (PARQ), health and fitness screening, injury or medical history, pregnancy declarations, medical certificates, and any information relevant to safely delivering exercise physiology or personal training services. For exercise physiology and allied-health services, this may include clinical notes, treatment records, referral information, and Medicare or private-health-fund details where you use those to claim or pay for services.
- Images and recordings — photographs and video taken in the studio or at events (with your consent), and CCTV footage captured in the studio for safety and security.
- Website and technical information — your IP address, browser type, device information, pages visited and similar analytics data collected via cookies and tracking tools (see “Cookies and online tracking” below).
Sensitive and health information
Health information is “sensitive information” under the Privacy Act and is given a higher level of protection. We only collect health and other sensitive information where it is reasonably necessary to deliver our services safely (for example, to screen you before exercise, design or modify your program, or deliver exercise physiology care), and generally only with your consent. We will not use or disclose your health information for any purpose other than the one for which it was collected, unless you would reasonably expect us to, or you consent, or we are required or authorised by law.
How we collect your information
We collect personal information directly from you wherever practical — for example, when you enquire, sign up, complete forms or questionnaires, book or attend sessions, make payments, or contact us. We may also collect information from third parties such as your referring GP or allied-health practitioner (for exercise physiology referrals), your nominated emergency contact, or our service providers. When you use our website, some information is collected automatically through cookies and analytics tools.
Why we collect, hold, use and disclose your information
We use your personal information to:
- provide, administer and manage your membership, bookings and account;
- screen you for exercise, design and adjust your training or exercise-physiology programs, and deliver our services safely;
- process payments, direct debits and refunds, and manage arrears;
- where relevant, process Medicare or private-health-fund claims and rebates for eligible services;
- respond to your enquiries and provide customer support;
- send you service messages and, where you have opted in, marketing and promotional communications;
- improve our services, understand our members, and conduct internal reporting and analytics;
- maintain the safety and security of our premises, staff and members; and
- meet our legal, regulatory and insurance obligations.
Who we share your information with
We do not sell your personal information. We disclose it only where necessary to run our business and deliver our services, including to:
- Mindbody — our booking, member-management and payment platform, which processes our direct debits and card payments;
- professional service providers — such as IT, hosting, email, accounting, debt-collection and marketing providers who help us operate;
- allied-health and medical practitioners — where relevant to your exercise-physiology care and with your consent or referral;
- Medicare and private health funds — where you claim rebates for eligible services;
- government, regulators, law enforcement or insurers — where required or authorised by law, or to establish or defend a legal claim.
We require our service providers to protect your information and to use it only for the purposes for which we engage them.
Overseas disclosure
Some of our service providers — including analytics and advertising platforms (Google and Meta) and certain software providers — may store or process data on servers located outside Australia, including in the United States. Where we disclose information overseas, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
Cookies and online tracking
Our website uses cookies and similar technologies to operate the site, remember your preferences, and understand how the site is used. We use Google Analytics / Google Tag Manager to measure website traffic and performance, and the Meta (Facebook) Pixel to measure and improve our advertising. These tools may set cookies and collect information about your device and browsing activity, and may combine it with information those platforms already hold.
You can control or disable cookies through your browser settings, and you can opt out of personalised advertising through your Google and Meta account settings. Some embedded content on our site (such as videos) may also set its own cookies and is governed by the privacy policy of the third party that provides it.
How long we keep your information
We keep your personal information for as long as necessary to provide our services and meet our legal, accounting, insurance and regulatory obligations. Health and clinical records are retained for the minimum periods required by law. When information is no longer needed, we take reasonable steps to securely destroy or de-identify it.

We take reasonable steps to protect your personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls, secure systems, staff training and confidentiality obligations, and engaging reputable service providers. No system is completely secure, but we work to keep your information safe.
Data breaches
We have procedures in place to respond to data breaches. If a breach is likely to result in serious harm to affected individuals, we will notify those individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
Accessing and correcting your information
You can request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Contact our Privacy Officer using the details above. We will respond within a reasonable time. In limited circumstances we may decline access as permitted by law, in which case we will explain why.
Making a complaint
If you believe we have breached the Australian Privacy Principles or mishandled your information, please contact our Privacy Officer first so we can try to resolve it. We will acknowledge your complaint and respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.
Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be available on our website, and the “Last updated” date shows when it was last revised.
